SURVEY GUIDED DEVELOPMENT PROCESS


Phase 1 Discovery

The consultant and the client discuss the current state of the organization and agree upon an ideal state of organizational functioning. During this goal setting process, the consultant learns from the client about the history, structure, internal politics, culture, and external environment of the organization as well as any past or present issues which the consultant needs to take into consideration. A specific understanding of what the client would like to have happen is established.


Phase 2 Measurement

Information is collected from all members of the organization through the administration of a survey instrument or instruments in order to determine how the organization functions presently. The instrument(s) can be customized for the individual client by adding questions around areas of particular concern. Decisions are made regarding desired sub-divisions for reporting of results. Additional information about population demographics can be collected if the client so desires. This allows for detailed research with the data, if necessary or desired.

Assistance is provided to the client in introducing and positioning the survey process positively with employees. This can take the form of providing cover letters, guidelines for employee meetings, or even conducting the meetings. Survey forms are developed and produced for the client’s use, including any modifications required in scanning or processing programs.

Complete instructions and guidance are provided on the logistics of administering and returning the surveys. On-site assistance is available, if necessary.

Surveys are received by Lumpkin & Associates, checked, scanned and processed to tabulate results. Standard reports will include frequencies, statistics and graphs showing overall results as well as results broken down by client-defined divisions.


Phase 3 Preliminary Diagnosis

Feedback of survey data about the organization is reported to client along with preliminary interpretation and discussion of possible action steps. This includes a complete management summary of the data. Assistance can be provided in communicating data to the management team.


Phase 4 Employee Feedback

Feedback of work-group level data to groups with facilitated discussion. It is very helpful if this can be done by department managers since they need to take ownership of the data and the issues raised by it. Lumpkin & Associates can train your managers in how to make these presentations. In cases where using the managers as presenters is not possible assistance can be provided in conducting feedback sessions for employees.


Phase 5 Implementation of Action Plan

Consultant works with client as requested to advise, assist or provide training, counseling or other interventions agreed upon to eliminate or lessen discrepancies between actual and ideal functioning.


Phase 6 Evaluation and Follow-Up

Repeat survey(s) or a smaller, targeted version is re-administered at a later time to evaluate the effects of the change activities and refine goals.
